Whether you're showcasing gourmet bites, handmade goods, vintage rides, or aviation displays, this is your chance to connect with thousands of attendees and fellow vendors in a dynamic and welcoming atmosphere.

VENDOR Site Information, Agreement, and Registration 
Space is limited and spots fill up fast.

Please read the following instructions and agreement thoroughly.
Submission of your vendor registration constitutes acknowledgment and acceptance of the terms outlined below.
 

• Please ensure that you select a space large enough to accommodate your entire setup, including vehicles, hitches, tents, tables, and any additional equipment. If your setup exceeds the dimensions of a standard space, you must request and pay for an appropriately sized space in advance. Upon arrival, if your setup is found to exceed the space you reserved and paid for, you will not be permitted to set up at the festival.  Please ensure that all space requirements are accurately detailed before submitting your registration. We are unable to make any changes to space assignments once sites have been mapped and configured based on your submitted registration.  (Standard: 10'x10'; Large 10'x20'). It is your responsibility to confirm that your selected space will accommodate your full setup. No refunds or exceptions will be granted.

• All Vendors must be insured and are required to submit a copy of their Certificate of Insurance to Events@regionalchamber.biz no later than September 26th, 2026.  Please note in the subject line:  COI - name of your business.

Logistics:

• Vendors will not have access to electrical power or water hookups on site. You are responsible for bringing your own generator and any water needed for the duration of the festival.

• Please note: Tables, chairs, and tents will not be provided. Vendors must supply all necessary equipment for their setup.

Payment:

• To eliminate the need for on-site transactions, all vendor payments must be received in full by the Top of Virginia Regional Chamber (TVRC) no later than the Friday, September 26, 2026. Failure to submit full payment by the deadline will result in the forfeiture of your reservation and any partial payments made. No refunds or exceptions will be granted.

Setup & Hours of Operation:

• Vendors may set up on Friday, the evening before the festival, between 5:00 PM and 7:00 PM. Vendors choosing to set up on Friday must notify the Top of Virginia Regional Chamber (TVRC) in advance of their arrival at the airport. Please note: the airport is secured with 24-hour security. 
• Saturday morning setup must occur between 7:00 AM and 9:00 AM. No vendors will be permitted to enter the festival grounds after 9:00 AM. All vendor booths must remain open and fully operational from 10:00 AM to 3:00 PM.
• Early breakdowns are strictly prohibited—no exceptions. Vendors who begin breaking down prior to 3:00 PM will not be invited to return for future events.
• Each vendor will receive one (1) vendor parking pass. Any additional vehicles must park in general parking areas.
• Vendor spaces must be kept neat, clean, and free of clutter, with all aisles clear and accessible throughout the event.

Agreement:

By submitting this application, I acknowledge that I have read, understand, and agree to abide by all rules and regulations of the Wings & Wheels Festival – Winchester, VA.
In an effort to ensure a diverse and balanced selection of vendors and exhibitors, the Winchester Regional Airport Authority and/or the Top of Virginia Regional Chamber (TVRC) reserve the right to accept or deny any vendor application at their discretion.
I understand that failure to comply with these rules may result in the forfeiture of all fees paid and may subject me to further action as determined by the Wings & Wheels Committee.
Furthermore, I agree to hold harmless and indemnify the Wings & Wheels Committee, the Top of Virginia Regional Chamber, the Winchester Regional Airport, Frederick County, and all respective elected and appointed officials, officers, directors, employees, agents, volunteers, and consultants from and against any and all claims, losses, liabilities, and expenses—including attorney’s fees and court costs—arising out of or related to my participation in the Wings & Wheels Festival.

Cancellation & Refunds:

No refunds, reimbursements, or credits will be issued for any reason, including but not limited to inclement weather, natural disasters, or any state of emergency that may result in the cancellation of the event.
By submitting your registration along with payment, you acknowledge that all information provided is accurate and that you agree to the terms and details in these instructions.
No exceptions will be made.
