Job Summary:

NW Works is seeking a part-time Receptionist and Scheduler to join our team. The ideal candidate will be the first point of contact for our service participants and visitors, providing exceptional customer service and ensuring smooth operations in the office. Additionally, this role will involve managing schedules, appointments, and assisting with administrative tasks as needed.

Essential Functions:

  • Responsible for performing front office duties that include answering telephones and greeting visitors; Maintains and coordinates the general correspondence of the organization; and assist workers by selling bus tickets, giving change, and as needed, responds to other requests made by our workers.
  • Responsible for individuals while they are in the front lobby area.
  • Responsible for checking individuals in and out through the Vertex system.
  • Responsible for incoming mails, including delivery of shipments from various carriers are distributed to the appropriate personnel.
  • Responsible for maintaining the conference room reservations and communicating pertinent information regarding this to staff.
  • Ensures that the front lobby and receptionist desk area is organized and clutter free.
  • Provides a wide range of administrative support to the Office Coordinator
  • Establishes and maintains excellent customer relations with both internal and external customers, including community partners, funders, the NW Works Board of Directors, Leadership team, staff members and service participants.
  • Completes projects under tight deadlines even when there are competing requirements and changes in assignments.
  • Participates in meetings, retreats, in-services, workshops, conferences, and committees as required.
  • Arrives to work on-time, prepared and with a positive attitude.
  • Maintains accurate time records and related documentation and submits paperwork by established deadlines.
  • Adheres to the policies and procedures of NW Works.
  • Represents agency standards for dress, grooming and demeanor.
  • Accepts and performs other duties as required.
  • Must have the ability to transport clients on an as needed basis.
  • Will work with Programs Team on scheduling projects.
  • Responsible for electronic vehicle check-out/inspection for NW Works company vehicles.

Minimum Education and Experience:

  • High School Diploma or GED required.
  • Proven experience in a customer service or administrative role.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Work, Excel, Outlook, etc.).
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • Professional appearance and demeanor.
  • Punctuality and reliability.

Schedule: 7:00am-3:00pm Thursday and Friday

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
